Shop Profile

What this does

Settings → Shop Profile is several cards on one page. Each saves on its own.

Before you start

settings.shop (Owner, General Manager). Have the numbers ready: labor rate, parts markup, shop-supplies percentage, tax rate, and where you want work-order and invoice numbering to start.

The cards

Shop Profile. Shop Name, Address, City, State, ZIP, Phone, Email, Website. These print on estimates, invoices, statements, and receipts and appear on the customer portal.

Numbering & Defaults. Default Labor Rate ($/hr), Parts Markup (%), Shop Supplies (% of labor), and Tax Rate (%) are the defaults every new estimate starts from; a line can override the rate, and the tax rate is what's actually charged on taxable lines (see Setting up sales tax). Order prefix and Next order number control the single counter shared by estimates and work orders (an estimate keeps its number when it becomes a work order); leave the prefix blank for plain digits. Invoice Prefix is separate. Default Payment Terms sets new invoices' due dates. Default Labor Rate Type (Flat Rate, Actual Time, Matrix Pricing) is how labor lines are priced by default. Set numbering before the first estimate; changing it later doesn't renumber anything.

Default Payment Methods. Default Bank Account and Default Credit Card: the accounts the payment screens and the transaction inbox pick first.

Business Hours. Open and close per day, or Closed. The schedule and the public booking page use these to decide which slots exist.

Shop Bays. Add, rename, reorder, and remove bays; see Bays.

Terminology. The words the app uses for your kind of shop; see Terminology.

Common problems

Invoices are numbering from 1 again. The prefix changed. Numbers are per prefix; keep the old prefix or set the next number above the last one used.

The tax rate on the profile and the Sales Tax settings disagree. The profile's rate is what's charged; the Sales Tax page's rates and groups label it for the liability report. Make them match.

Business hours saved but the booking page still offers Sunday. Booking has its own availability under Settings → Booking; business hours are the default it starts from.
