Setting Up Your Shop

After signing up and creating your shop, you'll go through a quick setup process to configure the essentials.

Step 1: Shop Profile

Navigate to Settings > Shop Profile and fill in:

  • Shop name and address
  • Phone number and email
  • Business hours
  • Tax rate (applied to invoices)

Step 2: Labor Rates

Go to Settings > Rates to configure your labor rates:

  • Set your standard labor rate (e.g., $125/hour)
  • Add additional rates if needed (diagnostic, electrical, etc.)

Step 3: Service Bays

In Settings > Bays, add your service bays:

  • Name each bay (e.g., Bay 1, Alignment Bay, Quick Lube)
  • Assign a default technician if desired

Step 4: Team Members

Invite your team from Settings > Team:

  • Enter their email address
  • Assign a role (Owner, General Manager, Service Manager, Service Writer, Technician)
  • They'll receive an email invitation to join

Step 5: Accounting (required before you invoice)

Go to Accounting → Settings and set:

  • Accounts Receivable — invoices will not post to the ledger without this
  • Default revenue account — used when a line has no account of its own

New shops also default to holding recorded payments in Undeposited Funds until you post a deposit, and open Profit & Loss / Sales Detail on a cash view when that period's invoices are all posted. You can change both on the same settings page. Imported invoice history (no ledger yet) uses AR onboarding on that page — it posts one opening balance and turns on the nightly AR tie-out. Do not run that on a shop that already posts receivables.
