How the schedule works
Updated September 23, 2026
What this does
Sales → Schedule is the shop calendar. Each entry is an appointment: a customer (optional until they arrive), a title, a start and end, a bay, an assigned technician, and notes. Appointments come from the counter or from online booking, and when the car arrives the appointment becomes a work order with one click.
Statuses
Scheduled — booked. Confirmed — the customer has confirmed. Checked In — the car is here and a work order exists. In Progress, Completed — mirrored from the work order. No-show and Cancelled — closed without work.
Only Scheduled and Confirmed appointments can be checked in. After check-in the appointment follows the work order automatically: when the job moves to In Progress (or Waiting Parts, or Awaiting Authorization) the appointment shows In Progress; when it reaches Ready for Pickup, Delivered, or In Storage the appointment shows Completed. You don't edit a checked-in appointment's status by hand.
Where appointments come from
The counter creates them from the Schedule. Customers create them from your public booking page if online booking is on; those arrive as Scheduled with the service they picked as the title. See Online booking setup.
Common problems
An appointment shows In Progress but nobody's touched it. Its work order changed status. The appointment follows the job, not the other way round.
I can't check in an appointment. It's already checked in, or it's No-show or Cancelled. Create a new appointment or start a work order directly.
A technician can see the schedule but can't add to it. Technicians have view only. Scheduling needs a counter role.
