Creating and editing appointments
Updated September 23, 2026
What this does
Puts a job on the calendar before the car arrives, so the bay and the technician are spoken for and the customer has a time.
Before you start
schedule.manage — every counter role has it. Bays must exist under Settings → Bays to assign one.
Steps
- On Sales → Schedule, choose New Appointment, or click the slot you want.
- Title — what the visit is for ("Oil change, Brake inspection"). If the customer booked online this is the service they chose.
- Customer — search and select. Optional at booking time; required before check-in.
- Start and End.
- Bay and Assigned To (technician) — both optional now, both settable at check-in.
- Status — Scheduled, or Confirmed if the customer has already confirmed.
- Notes — anything the writer or technician should know.
- Save. The appointment appears on the calendar in its bay.
Edit from the appointment: change any field, move the time, reassign. Cancel sets the status; Delete removes the appointment entirely (use cancel for anything the customer knows about, so there's a record).
Mark no-show when the customer doesn't turn up. It closes the appointment without a work order.
Common problems
Two appointments in the same bay at the same time. The calendar doesn't block it; check the bay column before saving.
The customer isn't in the system yet. Save the appointment without one and attach the customer when they arrive, or create the customer first under Customers & Assets → Customers.
