Checking in an appointment

What this does

Check-in is the handoff from the calendar to the floor. One action creates the work order from the appointment and carries over the customer, vehicle, title, notes, bay, technician, and mileage, so nothing is retyped.

Before you start

The appointment must be Scheduled or Confirmed and must have a customer attached. Have the mileage.

Steps

  1. Open the appointment on Sales → Schedule and choose check in.
  2. Confirm Check-In: set or confirm the Bay, the technician, and enter Mileage In.
  3. Confirm. The work order is created and numbered, the appointment moves to Checked In, and you're taken to the work order.
  4. From here the job is managed like any other: add lines, move status, invoice. See Managing a work order.

What carries over

Customer, vehicle, title, description (as both the work-order description and the customer notes), the appointment's end time as the Promised Date, bay, technician, and mileage. Billing type is Standard; change it on the work order if it isn't. Line items don't carry over from an appointment; add them on the work order, using the canned-jobs picker for the booked service.

Common problems

"Appointment cannot be checked in from status …" It's already Checked In, or it's Completed, No-show, or Cancelled. Open the existing work order instead.

Check-in worked but the work order has no lines. That's expected; the appointment holds the booking, not the priced work. Use the canned-jobs picker on the work order to add the booked service.

The customer arrived without an appointment. Skip the schedule. Use Find vehicle or start a work order directly; the appointment is optional.
