AR Aging and AP Aging

What this does

Two reports on the reports page, one on each side of the balance sheet.

AR Aging lists every customer with an open invoice balance as of a date, split into Current (0-30), 31-60 Days, 61-90 Days, and 91+ Days, with a Total per customer and for the shop. It's the same data as Money In → Aging Report, run as of a date instead of today, which is what you need to agree the balance sheet at month end. Collections advice is in Aging Report.

AP Aging does the same for vendors: every approved, partial, or overdue bill with a balance, bucketed the same way, Total Payable at the bottom.

Before you start

reports.view. For a month-end tie-out, run both as of the last day of the month and compare to Accounts Receivable and Accounts Payable on the Balance Sheet for the same date.

Steps

As of, Run Report, Export CSV.

How it's built

Both read the documents (open invoices, open bills), not the ledger. Age is counted from the due date for invoices and bills that have one.

Common problems

AR Aging total doesn't equal Accounts Receivable on the balance sheet. An invoice posted revenue but its balance wasn't cleared by a payment that did post, or the reverse. The nightly checks list the offenders; fix the document, not the report.

A vendor shows a balance I've paid. The payment wasn't recorded against the bill (a check written with an expense line instead of the bill ticked). Record it against the bill, or void and redo the check with the bill selected.

A customer with a credit shows negative. They overpaid or have a credit memo. Apply it to their next invoice; see Credit memos and customer credits.
