Portal access

What this does

A customer can sign in to the portal only after the shop enables access for their record, which creates a portal login tied to their email. Until then, the login page tells them to ask the shop.

Turning it on

Open the customer, find Portal access in Customer Information, and switch it on. The customer needs an email address on their record first — that's what the login link goes to, and the switch stays disabled until there is one. Turning it on sends the first login link straight away.

The portal is a Business plan feature. On a lesser plan the row reads "Available on the Business plan" instead of offering the switch.

Switching it off stops future logins: the login link is only ever issued to an active portal user. Switching it back on reuses the same record rather than creating a second one, so the customer's history follows them.

Changing the customer's email while access is on moves the portal login to the new address, so the next link goes where you'd expect. If that address is already another customer's portal login, the customer's email still changes but the portal keeps the address that works — two customers can't share one login.

Common problems

A customer asks for portal access now. Send them the share link for the document they need; it does everything the portal does for that document.
