How customer records work

What this does

Every job, invoice, message, and vehicle in LogMyRepair.app hangs off a customer record. Customers & Assets → Customers is the list; a customer's detail page is the one place to see everything the shop has done for them.

Two kinds of customer

Individual — a person. First and last name are the identity.

Company — a business. Company name is required; a contact name is optional. Company customers can also be linked to a fleet account when several vehicles or several people bill to one payer.

The type is chosen when the record is created and drives which name fields the forms show and how the name prints on documents.

What a record holds

Contact details (email, phone, address), free-form Notes, the customer's vehicles, and three settings that affect money and messaging: an optional hourly rate and billing cadence for customers billed by time, whether statements are sent, and SMS consent status. See Billing settings on a customer and SMS consent.

The detail page

Customer Information with edit; the vehicle list; current and past work orders; invoices billed to this customer with a Balance Due total; Messages (the SMS/email thread); fleet membership; and Change History showing who edited what.

Common problems

Two records for the same person. Search before creating; the inline "add customer" on the estimate form is where duplicates usually come from. There is no merge; keep the record with history and stop using the other.

A technician can't open a customer. Technicians can view customers; Tier 2 Technicians can't. That's the role, not a bug.
