Billing settings on a customer

What this does

Most customers pay per job. Some are billed for time at an agreed rate, or receive a statement of everything open on a schedule. Three fields on the customer record control that.

The fields

Hourly rate — the rate this customer is billed for time-based work. Blank means no rate is set; it is never treated as zero. Used when billable time is reconciled against the customer; per-line labor rates on a job still come from the job.

Billing cadence — Weekly or Monthly. The schedule on which this customer's open balance is rolled into a statement.

Statements — whether this customer is included when statements are generated under Accounting → Money In → Statements. A customer with statements off is billed invoice by invoice only.

Steps

  1. Open the customer and choose Edit Customer.
  2. Under Billing, enter the hourly rate (numbers only, no currency symbol) or leave blank.
  3. Pick a cadence and turn statements on if this customer should receive them.
  4. Save Changes.

What happens in the books

Nothing on save. These fields shape what the statement run picks up and how billable time is priced; the ledger moves only when invoices are issued and payments recorded.

Common problems

"Enter a valid rate (0 or more)." The field accepts digits and one decimal point. Remove the dollar sign or comma.

The customer isn't on the statement queue. Statements are off on their record, or their cadence doesn't match the run you're looking at.
