Adding and managing team members

OwnerGeneral Manager

Updated September 23, 2026

What this does

Settings → Team lists everyone with access to the shop, with their role, and is where you add people and change what they can do. Each person has one role per shop; the role decides which screens they see and which actions they can take.

Before you start

settings.team (Owner, General Manager). Your plan sets a maximum number of team members; the page tells you when you've reached it. Decide the role before you add someone; see Roles and permissions for what each one can do.

Steps

Add Member creates the login on the spot. Full Name, Email, Role, and an optional password (leave it blank and one is generated). After saving, the dialog shows the email and password once, with Copy Credentials; hand them to the person and have them sign in and change the password. If the email already has a LogMyRepair.app account (someone who works at two shops), the existing account is added to this shop with the role you chose and no new password is made.

Invite emails an invitation to an address with a role attached, and lists it under Pending Invites with its expiry. The invitee clicks the link, signs in or creates an account with that same address, and lands in the shop with the role you chose. Three icons sit on each pending row: copy the link (to send it yourself when email is slow), re-send the email, and cancel. A re-send keeps the original link working, so an invite already sitting in someone's inbox doesn't stop working; the expiry only moves if it was within a day of lapsing.

If email isn't configured for the platform, the invite is still created and the toast says the email didn't send — copy the link and hand it over. Add Member remains the direct route for someone who already has an account.

Change a role from the row's role menu. It applies on the person's next page load. The Owner's role can't be changed here.

Remove takes the person out of this shop. Their login still exists (they may belong to another shop); they just can't open this one. You can't remove the Owner or yourself. Removing someone doesn't touch anything they did: work orders, payments, and audit entries keep their name.

Technicians also need a pay profile before they show on the leaderboard or in labor-cost reports; see Technician pay settings.

Common problems

"Your plan allows up to N team members." Remove someone who's left, or upgrade under Settings → Subscription.

The new person can't sign in. They're using the wrong email, or the password was mistyped from the credentials dialog. Change their role to anything and back doesn't reset a password; have them use the sign-in page's password reset.

Someone needs to do one thing their role doesn't allow. Either move them up a role or adjust the role's permissions for your shop; see Custom permissions. Don't make everyone General Manager to get past one missing permission.
