Uncategorized Expenses

What this does

Some transactions get posted before anyone decided what they were: an imported statement line assigned to the holding account, an Amazon charge nobody itemized, a bill line left on the default. They land in the Uncategorized Expense account. The report on the reports page lists every posted line in that account for a date range (Date, Description, Reference, Source, Amount, Total Uncategorized) so they can be worked off before the month is reported.

Before you start

reports.view to see the list; Owner or General Manager to fix the transactions.

Steps

Start Date, End Date, Run Report. For each row: open the transaction from the account register (checks and card charges), Edit, change the category line to the right expense account with a reason, save. The row disappears from this report and the amount moves on the P&L. For a bill line, open the bill and correct the line. For a manual journal entry, post a reclassifying entry.

How it's built

Posted journal-entry lines on the account named Uncategorized Expense in your chart, in the date range. It reads the ledger, so a transaction that's been re-categorized is gone on the next run.

Common problems

The report says the account doesn't exist. Your chart has no account with "Uncategorized Expense" in its name. The standard chart includes one; add it under Chart of Accounts if it was removed.

Rows keep coming back every month. An import or a payee rule is pointing at the holding account. Fix the rule; the inbox holds uncategorized rows as Pending rather than posting them, so a recurring source is usually a bank rule or a vendor default.

I can't edit a row. It's in a completed reconciliation or a locked period. Post a reclassifying journal entry dated in the open period instead.
