Sales Detail
Updated September 23, 2026
What this does
Reports → Sales Detail is the sales register: one row per document in the period with Customer, Date, Doc #, and the sale split into Parts, Labor, Sublet, Charge (fees), Supply (shop supplies), HazMat, and Total. A Type column appears when the shop bills both through work orders and standalone invoices; an Uncat. column appears only when a period carries revenue that isn't itemized (typically imported history), so the columns always add up to Total.
Before you start
reports.view. Pick the basis: accrual for "what did we sell," cash for "what did we collect."
Steps
From, To, Accrual or Cash, Run Report. Totals per column at the bottom. Export CSV includes the Type column even when the screen hides it.
Cash view. Rows are payments received in the period, each tied to the document it paid, with the same category split pro-rated across what was collected, plus Tax and Received columns. Two summary lines separate Collected on posted invoices from Direct revenue (no invoice), the receipts that came in with no invoice to attribute them to.
How it's built
Accrual reads work order and invoice line items by type. Cash reads payments and allocates each one across its document's line types in proportion. Neither reads the ledger, which is why this report is the cross-check for the P&L: if Sales Detail shows a sale the P&L doesn't, the invoice didn't post.
Common problems
Parts total doesn't match parts revenue on the P&L. Line types are what the counter chose; the revenue account is what the line's item mapped to. A part sold on a "labor" line, or a line with no revenue account (falls to the default revenue account), moves money between the two views. Fix the line or the item mapping.
Cash toggle is disabled. An invoice in the period hasn't posted. See Cash and accrual.
A voided invoice is listed. Voided documents are excluded; if you see one, its status didn't update. Void it again from its page.
