Editing and deleting customers
Updated September 23, 2026
What this does
Customer details change: phone numbers, addresses, a company that becomes a fleet. All of it is edited on the customer's detail page, and every change is logged.
Before you start
Editing needs customers.edit (every counter role). Deleting needs customers.delete, which only the Owner and General Manager have.
Steps
Edit. Open the customer, choose Edit Customer, change the fields, Save Changes. The type can be switched between Individual and Company; switching to Company requires a company name.
Change History at the bottom of the page lists each edit with who made it and when. Use it before asking "who changed this customer's phone number."
Delete. Delete Customer on the detail page. Meant for records created by mistake: a duplicate with nothing attached, a test entry. A customer with work orders, invoices, or vehicles should be kept; their history belongs to the books. If records still reference the customer the delete is refused; if it succeeds, any remaining references are detached rather than removed.
Common problems
I want to merge two duplicate records. There is no merge. Keep the record with the most history, copy over any notes, re-add any vehicle that only exists on the duplicate, and delete the duplicate if nothing else is attached to it.
Delete Customer isn't there. Your role doesn't include delete. Ask an Owner or General Manager.
