Invoices from the accounting side
Updated September 23, 2026
What this does
Money In → Invoices is the same invoice table the counter uses under Sales → Invoices, seen as receivables: every non-draft invoice with its balance, days outstanding, and whether its revenue has posted. The counter creates invoices from jobs; this screen is where the books look at them.
What's different here
Standalone invoices (no work order behind them: a part over the counter, a domain renewal, a retainer) are created here with lines and a customer. They post exactly like job invoices.
The list surfaces posting state. An issued invoice with no posted revenue entry is a problem (usually a missing AR account at the time), and it's what stops a period showing cash-basis reports.
Re-dating. An invoice or payment date can be changed after posting by an Owner or General Manager; the change is audited and the ledger entry moves with it. Use it for a date entered wrong, not to move revenue between periods.
Statuses
Money statuses are derived: Sent, Partial, Paid, Overdue (past terms with a balance). Lifecycle statuses are set: Draft, Void. Nothing here can hand-set Paid; see Recording payments.
Common problems
An invoice shows Sent but the customer has paid. The payment wasn't recorded, or was recorded against a different invoice. Check the customer's payment history.
Revenue on the P&L doesn't match the invoice list. Look for invoices marked issued with no posted entry, or for No Charge / Internal billing types, which don't post by design.
