Creating Your First Work Order
Work orders are the core of MechFlow. Here's how to create one.
From an Estimate
The most common path is to create an estimate first, get approval, then convert it to a work order:
- Go to Estimates and click New Estimate
- Select or create a customer
- Select or add a vehicle
- Add line items (labor, parts, fees)
- Send the estimate to the customer for approval
- Once approved, click Convert to Work Order
Directly
You can also create a work order directly:
- Go to Work Orders and click New Work Order
- Select the customer and vehicle
- Add services and parts
- Assign a technician and bay
- Set the status to In Progress
Tracking Progress
Use the work order status to track where each job is:
- Pending — Waiting to start
- In Progress — Tech is working on it
- Waiting for Parts — Parts on order
- Waiting for Approval — Customer needs to approve additional work
- Complete — Ready for pickup
- Invoiced — Invoice has been created
Tips
- Use canned jobs to speed up adding common services
- Attach inspection results to show customers what you found
- Add internal notes that only your team can see
