The vehicle record

What this does

The vehicle page is the shop's memory of one car: what it is, what's been done to it, what parts it has, and what it looked like last time it was in. Open it from the customer or from the Assets list.

What's on it

Identification — VIN, plate, year, make, model, trim, color, body style, and the decoded details (drive type, fuel type). Edit here if the decode was wrong.

Mechanical — engine, transmission, and mileage. Each work order records its own Mileage In; keep the vehicle's mileage field current when you edit the record.

Notes — free text for the vehicle itself: "customer supplies own oil," "rear hatch sticks."

Service History — every job on this vehicle with its status: Estimate, Approved, In Progress, Ready for Pickup, Delivered, Invoiced, Paid, Declined, Cancelled, In Storage. Click through to the work order.

Photos — upload with Add Photos and caption each one. Use them for condition at intake, damage found, and before/after.

Parts — the parts history: what was installed and on which job, written when a work order reaches Ready for Pickup. This is where "did we replace that already?" gets answered.

Intelligence — a per-vehicle view of past outcomes by category with the parts used, drawn from service history.

Common problems

Mileage is stale. The vehicle's mileage field is edited on the record; the per-visit reading lives on each work order's Mileage In. Update the record when you notice it's behind.

Parts history is empty for a job that used parts. The work order never reached Ready for Pickup; parts history is written at that status. Move the status and it fills in.

Photos won't upload. Check the file is an image and not oversized. Try one at a time.
